Graduate Assistant for Operations & Event Support Services

Division of Student Affairs

As a graduate assistant in the Division of Student Affairs, this job description denotes your primary responsibilities; however, the Division operates as a cohesive unit, and you may be asked to assist in other areas throughout the Division as necessary.

Description: The Graduate Assistant for Operations will report to the Associate Director of Operations and Events Support Services and will assist with the supervision of Operations student staff, hiring and training of staff members, payroll management and late-night and weekend event oversight.

Responsibilities include (but are not limited to):

● Assist with supervision of the Student Center Managers, Managers-in-Training (MITs) and Operations student staff

○ Ensure that all Student Center Managers’ responsibilities are being completed

○ Manage discipline process of staff and maintain clear documentation

○ Provide late night supervision of Student Center staff in D’Angelo Center

○ Assist the Associate Director of Operations with weekly manager meetings and manager event coverage

○ Oversee Event Management Staff Concerns Committee and Social Committee

● Assist with development, improvement, and execution of the extensive Managers-in-Training program under the supervision of Associate Director

● Lead the planning and facilitation of all skills, development, and culture-based training sessions for more than 70 Operations staff members to ensure acclimation into Operations culture and responsibilities: new hire training, skills enhancement training, policy/procedure training, payroll, training, and event management operations training.

● Assist with coverage and supervision of operations of evening/late-night/ weekend events.

● Assist with assessment and analysis of hiring and interview process, event support services and training sessions.

● Assist with the University’s COVID-19 mitigation initiatives, including but not limited to supporting on campus testing sites, and contact tracing.

Payroll Management

● Assist with the bi-weekly processing of student employee payroll submissions to Human Resources

○ Enter new employees into the TimeClock system

○ Track & evaluate daily staff attendance of building shifts and events for irregularities

○ Reconcile missed TimeClock punches for area student employees

○ Project staffing needs and cost against payroll budget

Staff Management

● Facilitation of culture-based hiring process designed to build strong staff aligned with Operations mission and behaviors

○ Organize large scale hiring campaigns to ensure appropriate long-term staffing

○ Create interview evaluations and assessments

○ Conduct quarterly staff evaluations to maintain quality staff performance

○ Maintain and develop office and building services

Event Management

● Support of the Event Booking Process through Coursedog

○ Track, assess & troubleshoot room request submissions

○ Coordinate logistics meetings with student organization event planners

○ Management/distribution of diagrams & setup memos

○ Event resource tracking, inventory & allocation

○ Event staff management/allocation

Qualifications

● Bachelor’s degree required and preferred work experience in operations/event management.

● Candidates must have strong interest in student development and must be able to work independently.

● Excellent customer service skills and demonstrated ability in leading and motivating student teams.

● Detail-oriented with strong organization skills, presentation skills, and decision-making abilities. Creative problem-solving skills are a plus.

● Excellent oral and written skills and the ability to interact professionally with a diverse group of students and administrators.

● Proficient in Microsoft Office Suite.

Compensation:

· Stipend in the amount of $ 2000

· Tuition remission 9 credits

Length of Assistantship: This position requires a commitment of 20 hours per week. The Graduate Assistant contract year runs from late-August through May and is eligible for renewal on a yearly basis. A separate contract or working arrangement may be available for May through August and is subject to supervisor approval and budget allowance.
